Top technology tips for staff

Wireless access

Deakin University uses the eduroam wireless network. To connect to eduroam for the first time, check your device's wireless network list, choose Deakin Setup and follow the prompts. (This is the only time you'll need to use Deakin Setup.)

Once setup you will be able to connect to eduroam in hundreds of institutions around the world.

Managing your password

Staff passwords expire every 180 days. Change your password via the desktop on your workstation if you are on-campus and using a Deakin workstation. If off-campus, change your password using the change password webpage.

If you've forgotten your password and have your mobile number registered in StaffConnect, you can reset your password yourself. Visit change password to find out more. If you haven't provided StaffConnect with your contact number, please do. Til then, contact the IT Service Desk for assistance.

When you wish to set up a meeting, refer to the list of Virtual Meeting Point (VMP) numeric IDs currently available.

VPN

Junos Pulse Virtual Private Network (VPN)

To connect to the Deakin VPN you will need to install the Juniper VPN client on your computer from your computer's software catalogue. For non-Deakin Desktop computers, install from the Deakin software library webpage.

This requires an up-to-date version of Java.

Initial connection to the VPN can take up to a minute. This ensures you get the fastest possible connection speed for your local network conditions.

Directory

Phone directory updates

Update your details in the directory of staff listing by completing the phone or directory of staff update form.

Internet browsers

Browser misbehaving?

Callista, Deakin Financials Management System (DFMS) and Alesco HRMS run best in Internet Explorer and should be started from the shortcut in your Start (Windows) or Applications (Mac) menu.

If the shortcut is missing or doesn't function, check your software catalogue (Windows) or self service (Mac) for a newer version of the application.

CloudDeakin (DSO) runs best in Firefox.

If you are unable to view PDF documents in your browser, install the Acrobat Reader software from the Adobe website or install Adobe Acrobat from your Deakin Desktop software catalogue.

Persistent issues experienced when browsing can often be resolved by clearing your browser's cache.

Teaching spaces

Teaching and learning spaces

Issues with audiovisual equipment should be reported to the eSolutions IT Service Desk. Calls made from teaching spaces receive a priority in the queue. If the analyst isn't able to resolve your issue immediately, a technician will be arranged to visit the room.

Outlook

Outlook

Outlook 2010 (Windows) or Outlook 2011 (Mac) is the standard supported email and calendar package for all staff. Outlook can also be accessed via a web browser (Outlook Web Access) or from some mobile devices.

A Division, Faculty or Centre can request a shared mailbox to share information within the department. To add a shared mailbox refer to our step-by-step instructions for Windows or Mac.

When you are out of the office for extended periods, set up an email forward on your account.

Some staff receive large amounts of email which should not be deleted. Use the email archiving tool to copy email into a portable PST file, for long-term storage.

Phone

Telephones

Take your phone number with you when travelling to another campus with extension mobility. If you don't have an extension mobility profile set up, contact the eSolutions IT Service Desk to have one created.

You can edit speed dials, or remotely set call forwarding on your phone in the Call Manager user options system.

Refer to call manager and extension mobility for instructions on getting the most from these features.

Staff now have the ability to receive voicemail directly into their Outlook inbox with Outlook Voice Access. Refer to this wiki article for information about using Outlook Voice Access.

Files

Home drives, network shares and restoring data

Deakin staff are able to connect a network share where data can be stored and shared safely. For access to a network share drive contact your faculty or school data steward.

Home drives and network shares have previous versions functionality. This takes snapshots of your data at 10 am, 1 pm and 4 pm (kept for 24 hours) and 8 pm (kept for 7 days).
Therefore you are able to restore files and folders immediately yourself.
