Permissions

Circumstances in which permission is required before you can reproduce or communicate material include:

Applying for permission

If you need to apply for permission from a copyright holder it is advisable to do so through copyright staff within Knowledge Media Division. For legal and practical purposes, the university requires grants of permission to be obtained in writing and managing permissions from a central point within the university is the most efficient method for the university to keep track of these sorts of legal contracts. The copyright staff within the Quality Services Unit are also experienced in negotiating copyright matters, and it is in your interest to use the services provided by them.

Application forms

Copyright staff will make the application, negotiate fees, and maintain a central record of the permission on your behalf.

If, however, you have already arranged the permission yourself - well done! - but the Quality Services Unit still need to know about it! We need to keep central files of all copyright permissions. Please send a copy of the all relevant paperwork (or forward the relevant emails which state the terms of the permission granted) to the Copyright Officer through internal mail (address: Copyright Officer, KMD, Waterfront), or by email to: copyright_inquiries@deakin.edu.au (in you email subject line put: 'attn. copyright permission received').

Copyright fees

Remember that a copyright holder may charge a fee for granting permission for the content you request - and these fees can vary enormously depending on what you intend to do with that content. So remember to consider this potential cost within your project budget and be sure about how such fees are to be funded, or by whom.

Acknowledging permission

It is customary to acknowledge the permission of copyright holders, and many copyright holders ask you to include a particular form of acknowledgment. If you are preparing Faculty produced materials and have applied for permission in the correct manner, a Quality Services Unit staff member will send you a copy of the permission, including any special acknowledgment requested by the copyright holder, which you can include in your study materials. If your material is being produced by Knowledge Media Division your KMD contact (an editor for example) will ensure that the appropriate acknowledgments are included in the materials.
