The Calendar tool can be an important communication tool in your unit. It enables you to schedule and communicate unit-related events for all the participants.


You can add, edit and view important dates for workshops and tutorials, guest lectures, assessment due dates, your office hours, and any exam information. You can also add personal events to track group meetings, milestones, and deadlines. You can choose to share personal events with other users, groups, sections or organisational units; and view events that others have shared with you.

Unit-related events are automatically shared with all users in the organisational unit in which you create the event. Users can view unit events that you post through the Calendar tool. You can create unit-related events in other tools and set them to appear in Calendar. This works with Checklist, Resources, Discussions, Assignments, Grades, Quizzes and Surveys.

Access Calendar, add an event and a task

Access Calendar tool

  1. Click on CloudDeakin link on the top left hand side.
  2. Under the Calendar widget, click on the action menu of the Calendar and select Go to Calendar.

In this view, you can:

  • See a single day, week, or a month at a time.
  • Use the Day, Week, and Month tabs across the top of the page to change the calendar display.
  • View the events for a specific day by clicking a specific date on the Date Picker widget and also on the Calendar Grid.

Add an event

Note: Ensure that the Unit Codes are always added to each Calendar entries. This helps students and staff to distinguish between calendar entries from different units. e.g. ABC101 - Assignment 1 due

  1. Click Create Event.
  2. Type a title for the event in the Title field.
  3. If you want to add a description, type in the Description field.
  4. Select the Attendees using the drop-down box or select the list of groups.
  5. Select a Start and End date/time for the event.
  6. If you want the event to repeat, click the Add Recurrence button and choose a pattern for the recurrence.
  7. Use the Add Restriction to set the visibility of the event.
  8. Enter a Location.
  9. Click Create.

Add a task

You can add tasks that you need to complete to the Calendar tool.

  1. From the Calendar page, click on Add a task... text box on your right hand side. Enter a title for the task.
  2. To add a due date or a note to the task, click on the title of the task.
  3. Click on No due date, select a date and click the Save icon.
  4. Click on Add a note... to add notes for yourself.

Manage Calendar

Change your calendar settings

From the Settings page, you can set personal display properties for your calendar.

  1. From the Calendar page, click Settings located on the top right side.
  2. Change your settings accordingly.
  3. Click Save.

Edit an event

Note: You cannot change a unit-related event to a personal event, however, all other fields are editable.

  1. On the Calendar page, click List to see all the events.
  2. Click on the title of the event you wish to delete.
  3. Click the Actions button next to the title and select Edit Events.
  4. Make the changes and click Save.

Print your Calendar

  1. On the Calendar page, click on the Print button.
  2. In the pop-up window, select your print options.
  3. Click Print and click OK from the pop-up window.

Delete an event

  1. On the Calendar page, click List to see all the events.
  2. Click on the title of the event you wish to delete.
  3. Click the Actions button next to the title and select Delete Events.

Sync iCal (MAC)

  1. Click on CloudDeakin link on the top left hand side.
  2. Under the Calendar widget, click on the action menu of the Calendar and select Subscribe. If you did not see the Subscribe option, follow the steps below:
    • Click on Go to Calendar and then click on Settings.
    • Tick the box next to Enable Calendar Feeds and click Save.
    • Click on the Subscribe button.
  3. A new window will pop-up. Select the URL, control-click and select Copy.
  4. Open iCal and from the menu Calendar select Subscribe....

  5. Configure the Calendar settings. (Name, Colour, Location, Remove, Auto-refresh rate). The Calendar will update according to the Auto-refresh rate.
  6. To manually refresh the Calendar click on Refresh or Refresh All in the Calendar menu.

  7. To change Calendar settings, click on Calendars, right-click/control-click the relevant Calendar and select Get Info.

Sync Outlook (PC)

  1. Click on CloudDeakin link on the top left hand side.
  2. Under the Calendar widget, click on the action menu of the Calendar and select Subscribe. If you did not see the Subscribe option, follow the steps below:
    • Click on Go to Calendar and then click on Settings.
    • Tick the box next to Enable Calendar Feeds and click Save.
    • Click on the Subscribe button.
  3. A new window will pop-up. Select the URL, right-click and select Copy.
  4. Open Microsoft Outlook and switch to Calendar view.

  5. In the Home tab, click Open Calendar and select From Internet....

  6. Paste the link in to the URL field and click OK.
  7. Configure the Calendar Options by clicking on Advanced.
  8. Accept the Advanced Calendar Options by clicking OK.
  9. Click YES to add the Calendar to Outlook.
  10. The calendar will appear in the folder that was selected, but can be moved by dragging it to another category.

  11. To manually refresh the Calendar click on Send/Receive All Folders. Alternatively use Update Folder in the Send/Receive tab.
