Journal back issues will only be retained by the Library in accordance with the University’s Information Resources – Library – Operational Policy and Information Resources – Library Procedure, i.e. they must support the teaching, learning an research needs of staff and students, or relate to the University, its antecedent organisations, or Alfred Deakin. The Library is required to review information resources in the collection, and dispose of them when necessary to maintain a relevant and high-quality collection.
The Library will review journal back issues, and remove them from the campus collections when the journal has either been cancelled and no longer supports the teaching, learning and research of the University or a decision has been made to remove the title because the Library provides access to an online, electronic version which is owned by the University. Current practice is to archive one set of print journals to the CARM centre to ensure continued access by the University community. The CARM Centre is located at the CAVAL headquarters in Latrobe University grounds at Bundoora, Victoria. CAVAL (Cooperative Action by Victorian Academic Libraries) is owned jointly by the Vice-Chancellors of the Victorian universities (including Deakin) and the State Library of Victoria. The CARM centre provides environmentally controlled archival and preservation storage for valuable archival and research material. Material located in the CARM centre is available for closed access use and interlibrary loans. The CARM centre allows universities throughout Victoria to collaborate on archiving activities and centralise access to a wide range of research materials.
Guidelines for deciding the appropriate method of disposal are set out below.
1. When the title is already in the CARM store:
a. Discard any issues of any title when the issues are already held in the CARM store.
b. Transfer any issues to CARM that are not already held.
2. When the title is not in the CARM store:
a. Discard very small runs or very spotty runs (those with a lot of missing issues) of individual journal titles when the title and issues are available in at least one other university in Victoria, or the State Library.
b. In all other instances, transfer to the CARM store.
