Interlibrary loan guidelines

The Interlibrary Loan (Worldwide Loans and Document Supply) service must comply with various agreements, rules and regulations that govern our relationships with other libraries, businesses, and governments both in Australia and internationally. Please note these guidelines on your use of the service and how the library will meet your request for an item that Deakin University does not own.

General information

Requests for material will only be accepted if it supports the research or teaching and learning needs of Deakin University. The Library reserves the right to refuse requests for material that do not follow this requirement.

The Library will provide all non urgent (core) requests at no cost to the requester. Items required urgently (rush and express) incur extra costs that may be passed on to the requester.

There is no limit on the number of items that may be requested but the Library reserves the right to attach constraints/conditions, if it is deemed that numbers of items requested are excessive.

Registration

If you are eligible to use the interlibrary loan service, your details will need to be registered on the Worldwide Loans and Document Supply system. Please fill in your details on the Interlibrary loan registration form . Library staff will process your registration and ensure your account details are correctly added to the system. This will normally take one working day. An email will be sent to inform you of your Library Barcode and Password.

Copyright

Australian copyright law may prevent you from obtaining some material. The Library reserves the right to refuse to accept a request if, in its judgment, filling the order would involve violation of copyright law. All copying must comply with the following limits prescribed in the Copyright Act, 1968 (Commonwealth).

  • 10% of the pages of a work or 10% of the words(if work published electronically) or one chapter, whichever is greater;
  • more than 10% if the work is out of print or unobtainable in a reasonable time and at a reasonable price;
  • the whole or part of an article in one issue of a periodical;
  • two articles in one issue if the articles deal with the same specific subject matter;
  • the whole or part of a literary or dramatic work in an anthology if it is not more than 15 pages;
  • an artistic work which accompanies a literary or dramatic work to illustrate the text;
  • the whole or part of an artistic work if not separately published or obtainable at a reasonable price

When you submit a request for an item, you are making a legal declaration to abide by the conditions of the Copyright Act 1968 (Commonwealth).

Delivery of Interlibrary Loans

Loans

  • University staff will have Interlibrary Loan items sent to them at their School or Division address through the internal mail.
  • On campus students will receive an email notifying them that the item will be available to pick up at their campus library.
  • Off-campus students living in Australia will have loans mailed to them.
  • Off-campus students, living overseas, cannot request the loan of book or audiovisual items owned by another library.

Copies

  • All staff or student requests for articles or book chapters will be supplied electronically (web delivery) where this is possible.
  • Photocopies may be retained.
  • You will often receive a PDFcopy of a document via email. You may keep this document.
Web Delivery of Interlibrary Loan copies

Interlibrary Loans sometimes supplies copies of article via a web delivery service. Requesters will receive an email notification including a web link and a password.

Documents will be available on the server for 14 days, or 5 views. However, if you are away from the University, library staff do check the server for documents that have not been viewed. Before un-viewed documents are removed from the server, they will be printed and sent to the requestor through the internal mail.

Renewals and return of loaned items

  • The return due date is written on the yellow interlibrary loan cover.
  • Important: Please return the book and cover together or else the item cannot be properly checked in and removed from your borrowing record.
  • There is no guarantee of a loan renewal for interlibrary loans, as the lending library may require the item. Application for renewals must be made to Interlibrary Loans - (03) 522 71203 (ext. 71203) or email lib-ill-glg@deakin.edu.au

Borrowing theses?

Most university libraries do not lend their theses, though we will make a request.  Usually to obtain a thesis, a copy will have to be purchased and added to the Library collection. To request that the Library purchase a title, please contact your Liaison Librarian.

If you do not want the copy to be added to our library collection you may like to consider buying a thesis personally via ProQuest Dissertations and Theses Full Text.  Cost for a PDF copy is approximately $US50.00.  Other formats, at varying costs, are available.

Print theses authored by Deakin University researchers are available for loan to other Australian and overseas libraries.
