The Fleet Management Unit is responsible for maintaining a fleet of Central Pool vehicles which are available for staff to hire for the purpose of business travel.
Central Pool vehicles are located on all campuses and should only be used when assigned or departmental pool vehicles are unavailable.
Central Pool vehicles are campus based and must be returned to the same campus as they are collected from. Vehicles cannot be collected from one campus and dropped to another - no one way trips permitted.
Staff using Central Pool vehicles should familiarise themselves with the procedure and guideline governing the operation and use of University Motor Vehicles.
In the event of an accident, a copy of the Motor Vehicle Accident Guideline is located in the glove-box of all central pool vehicles.
Bookings must be made using the Webfleet Central Pool Online Booking System. To use the Webfleet system, staff must first complete and submit the On-Line Booking System Application Form to the Fleet Management Unit, Logistics (G) for processing. Please note that manual booking forms will no longer be accepted.
Subject to vehicle availability, submitted bookings will be confirmed once they have been authorised and a valid budget centre account code has been provided.
If there are no University vehicles available for use, a staff member may obtain permission from their budget centre authorising officer to use their private vehicle for business travel. Reimbursement of a per kilometre allowance can be claimed by completing an additional pay request claim on-line (via staff connect).
All central pool vehicles are provided with Shell fuel cards and e-TAGs. Fuel and toll charges are included in the hire charge rates.
Vehicles can only be refuelled at Shell service stations and the fuel is charged to the University on presentation of the fuel card. It is compulsory that an odometer reading is given at the time of refuelling. Vehicles must be returned with at least half a tank of fuel.
When travelling on toll roads, the e-TAG in the vehicle will beep each time a toll sensor is passed. The fees are automatically charged back to the University. If an e-TAG does not beep when passing toll sensors please advise your vehicle booking officer immediately.
