Examination procedures

October 2008 graduations

Deadlines for the submission of library copies and all requisite forms are as follows:

Wednesday, 27th August 2008
Eligible to attend the ceremony with your name and thesis title to appear in the graduation program.

Wednesday, 3rd September 2008
Eligible to attend the ceremony but your name and thesis title will not appear in the graduation program.

Candidates who miss these deadlines may be able to graduate in-absentia with permission from the Graduations Co-ordinator, Ms Anthea Williams.

The following checklists are provided for the information of all Higher Degrees by Research candidates and supervisors. All forms mentioned below can be found on our Forms and guidelines page.

The Sections (A, B and C) are in the chronological sequence in which they will be required. More detailed information may be obtained from the Guide to Candidature: Higher Degrees by Research or by contacting the Examinations Officer HDR.

A. Notification of Intention to Submit

Candidates are required to give at least eight weeks notice of intention to submit a thesis for examination. Before doing so, please consult the following guidelines and use the required forms. Candidate and supervisor checklists are also provided.

Note: If your postal address changes during the examination period, please ensure you notify the Research Services Division as well as the Division of Student Administration.

At least eight weeks prior to the submission date:
  1. Notice of Intention to Submit Thesis for Examination - one form containing the candidate's full contact details, ID, School, supervisor name, type of submission, expected date of submission and including the signature of both the Supervisor and Head of School.

 Please note: the form sent to the Examination's Office must contain the Candidate's original signature - photocopied or electronic signatures are not acceptable.

Supervisor Checklist:

At least four weeks prior to the submission date:
  1. Nomination of Examiners form - a minimum of four nominations (at least two from outside Australasia) with each potential examiner's full contact details and signed by the Head of School.

B. Preparation and Submission of Examination Copies

Please consult the following guidelines and use the forms when you are ready to submit your thesis for examination. Candidate and supervisor checklists are also provided.

Preparation of thesis

  1. Binding - either taped spine or perfect [as in telephone directories]. Loose leaf folders, ring binders and plastic spiral binding will not be accepted.
  2. Paper standard A4.
  3. Font not less than 12 point.
  4. Spacing and line length appropriate to font size.
  5. Margins - not less than 45mm on the binding side and other margins must be at least 20 mm to allow for trimming.
  6. Length - should not exceed 50,000 for a masters thesis or 100,000 for a doctoral thesis, and will generally be significantly shorter.
  7. Thesis Title Page - Sample. Please do not add any other information to the title page.

Submission of thesis:

  1. Number of copies - three copies of each volume (and appendices or other materials), should be submitted to the Examinations Officer HDR.
  2. Candidate Declaration form - bound in after the title page of each copy, signed and dated. NB: Signatures on all forms must be originals, photocopies are not acceptable.

Supervisor Checklist:

  1. Submission of Thesis form - one copy signed by both Supervisor and Head of School must accompany the thesis. Note this form is NOT bound into the thesis.

C. Lodgement of Library Copies

Please consult the following guidelines and use the forms when you are ready to lodge the library copies of your thesis. A checklist has been provided.

  1. Two copies of each volume should be submitted to the Examinations Officer HDR.
  2. Candidate Declaration form - signed and bound in after the title page of each copy. Signatures must be originals, photocopies are not acceptable. NOTE: This form is the same as for Part B
  3. One of the following forms must be pasted to the inside of the front cover of each copy, signed and dated: Access to Thesis A. Access to Thesis B, C and D - can not be used without the prior approval of the Deputy Vice-Chancellor (Research). Check with the Examinations Officer, HDR. NOTE: these forms are NOT bound into the thesis.
  4. Paper - standard laser printer paper (eg. Reflex 80gsm) is acceptable. Special paper such as acid free is unnecessary.
  5. Binding Colour - PhD: Red buckram. Masters: Dark Blue buckram. Strictly no decoration on binding or covers.
  6. Spine - Gold lettering on spine: 4 cm from bottom reading upwards the word DEAKIN / author / abbreviated title / year thesis was submitted for examination NOT when minor revisions were made. In the case of re-submission, it is the year the thesis was re-submitted for re-examination. Please refer to doctoral and masters examples provided.
  7. Summary of Thesis for Graduation form - two copies, not exceeding fifty words, in plain English, signed and dated. This summary should focus on the outcomes of your research. These forms are NOT bound into the thesis. One electronic copy of the Summary containing the candidate's name, ID number and course code must be emailed to Anthea Williams.
  8. Minor Amendments form - Please note this form is not located on the web. It is individually prepared for those candidates required to make minor revisions to their thesis and sent only to the supervisor along with copies of the examiners' reports.

    NOTE: Unless Library Copies conform to the above criteria they may not be accepted.
