Counselling student portal FAQs
It's easy to book a counselling appointment through our online student portal.
You can also access confidential documents and forms, update your details and manage your appointments. If you're having trouble here are some frequently asked questions and answers.
How do I make an appointment?
Login to the portal and select ‘appointments’ in the left-hand menu.
How do I cancel an appointment?
Login to the portal and select ‘schedule or check-in for an appointment’ in the middle of the screen. Your current appointment should be displayed under ‘currently scheduled appointments’. Simply click on ‘cancel appointment’ and follow the instructions. If you would like to reschedule, return to the ‘appointments’ page and ‘schedule an appointment’.
How can I receive appointment reminders?
Before you schedule an appointment, enable text message appointment reminders. You can do this by clicking on ‘enable text messages’ where you will be taken to another screen to update your mobile phone number and/or tick the ‘I would like to receive text messages’.
Can I book an appointment with any counsellor?
No. Counselling and Psychological Support (CAPS) has a wider team that includes specialised counsellors who work with specific student cohorts. Only students from these areas can access the specialised counsellors.
- If you are Aboriginal/Torres Strait Islander you can choose to see our Social and Emotional Wellbeing (SEWB) Counsellor.
- If you are a School of Nursing and Midwifery student you can choose to see our School of Nursing and Midwifery Counsellor.
- If you are a School of Medicine student you can choose to see our School of Medicine Counsellor.
- If none of the above apply to you, or you wish to see a counsellor from the wider counselling team, please select ‘I would like to see a counsellor from the wider counselling team’.
If you choose an option that is incorrect, you will be reallocated to an appropriate counsellor by the counselling team, which may cause delays to you accessing counselling.
How do I access forms?
You must complete two forms before your initial appointment.
Login to the portal and select ‘forms' from the left-hand menu.
This page will list the forms you have completed or are yet to complete. To complete the forms below click on a form to open, then tick the acknowledgement and consent box, which will allow you to submit the form.
- Counselling and Psychological Support Service confidentiality and privacy agreement.
- Telehealth counselling agreement.
Note: You will be alerted to any uncompleted forms by an orange notification next to ‘forms' in the left-hand menu.
How do I access letters?
Login to the portal and select ‘letters’ in the left-hand menu. Click on ‘view’ to read any letter. Once you have opened the letter you will have the option to download the letter as a PDF via a drop-down menu.

How do I view or send a secure message?
Login to the portal and select ‘messages’ in the left-hand menu. From this page you can read your messages or send a new message by clicking the ‘new message’ button.

How do I login to the portal?
You can access the portal at https://capspnc.deakin.edu.au You will automatically redirect to Deakin’s Single Sign On where you will use your Deakin student username and password to log in.
If you have trouble getting access, it may be because you are also a staff member and you’re using your staff ID and password. Only students can access the portal so, try again using your student username and password.
How do I change or update my profile?
Login to the portal and navigate to the left-hand menu. Under 'home' in the menu you will find ‘profile’. Here you will be able to edit various information including your mobile phone number, emergency contact and enable text messaging for appointment reminders.
